How to Set a Corporate Hamper Budget

, 6 min reading time

Set a useful budget before choosing your hampers. Work through quantity, delivery, presentation and gift choices with a simple illustrative example.

A corporate hamper budget is most useful when it describes the whole order. “Around £50 each” may mean £50 for the gift itself, or £50 for everything involved in getting it to the recipient. Those are different briefs, particularly when an order goes to many home addresses.

Before comparing products, agree what the spending limit includes, how many people you are thanking and how the gifts will be handed over. A little clarity here makes the shortlist easier and prevents attractive extras from quietly pushing the order beyond its approved total.

Jump to the five frequently asked questions

Start with the total you can approve

Write down the maximum order budget and the number of recipients. Divide one by the other to find the amount available per person, then reserve space for any delivery and presentation costs that sit outside the hamper price.

For example, a hypothetical £2,400 budget for 40 recipients gives £60 per person before deciding how that money is allocated. It does not automatically mean choosing a £60 hamper. If separate delivery or personalisation is required, those items need room within the same overall figure.

Check whether the recipient count is final. A team list that might grow from 40 to 44 needs a different calculation, even if each gift stays the same. Either budget for the likely final number or identify who will approve extra gifts.

Separate the parts of the order

Ask for a quote that makes inclusions clear. Packaging shown in a photograph may be one of several available options; a personalised message and a printed packaging design are also different requests. Confirm the presentation you actually want rather than allowing each supplier to price a different brief.

Budget item Question to settle
Hamper contents Which products, pack sizes and quantities are included?
Presentation Which box, tray or hamper option is included in this quote?
Personalisation Is the request a message, an insert, printed packaging or a combination?
Delivery How many destinations are involved, and what are their requirements?
Alternative gifts Do agreed dietary or alcohol-free options affect the total?
Additional quantity How will late additions be priced and approved?

Use the employee hamper range or client gift collection to establish the style of gift. Then compare the complete proposal, including the agreed delivery arrangement.

A worked example: 40 gifts within £2,400

The figures below are illustrative planning allowances only, not Scottish Hampers prices or a quotation. They show how one possible budget could be organised. Actual products, presentation and delivery need to be quoted for your order.

Illustrative allowance Calculation Total
Gifts with agreed standard presentation 40 × £45 £1,800
Delivery allowance 40 × £8 £320
Optional personalisation allowance 40 × £2 £80
Unallocated headroom £2,400 − £2,200 £200
Total budget £1,800 + £320 + £80 + £200 £2,400

The planned spend is £2,200, or £55 per recipient, leaving £200 unallocated. That headroom is not an extra charge; it stays in the buyer's budget unless needed. If the confirmed delivery quote is different, adjust the allowance before increasing the gift value.

Now suppose four more recipients are added at the same illustrative £55 planned cost. They would require £220, which exceeds the remaining headroom by £20. This small calculation shows why quantity changes need approval even when the original order looked comfortably within budget.

Compare usefulness as well as the item count

A longer contents list does not automatically make a more suitable gift. Look at pack sizes, the balance of sweet and savoury food, and whether the products work together. A focused tea-and-treats gift may suit one recipient better than a larger selection containing items they will not enjoy.

For instance, The Wee Yin offers a sweet-treat direction to explore, while The Artisan Smokehouse provides a savoury comparison. Check each current product page for its contents, presentation options and price; these are examples of different styles, not products priced within the worked example.

For teams, similar thought and presentation matter alongside comparable value. An alcohol-free alternative should feel deliberately chosen. Ask for options that suit the agreed budget rather than treating the alternative as whatever remains after the main gifts are selected.

Adjust the brief in a sensible order

If the quote is too high, identify which part is driving the difference. It may be the chosen hamper, an upgraded presentation, printing or the delivery arrangement. Asking for a lower total without changing the brief makes it harder to understand what has been removed.

  • Protect the recipient requirements first, including agreed ingredient exclusions.
  • Decide which presentation details are essential and which are optional.
  • Consider a different food selection that still feels complete and well matched.
  • Compare workplace handover with individual delivery where both are practical, using actual quotes.
  • Record the revised contents and inclusions before approving the order.

Our guide to choosing corporate Christmas hampers can help with the product decision once the financial brief is clear. Keep a copy of the approved quote beside the final recipient count so later changes are easy to assess.

Frequently asked questions

Should our budget be per hamper or per recipient?

A per-recipient budget is helpful for individual gifts because it includes getting the gift to that person. For office sharing hampers, record the number of gifts and the people sharing them separately.

How much should we keep aside for delivery?

Use a quote based on the actual destination count and locations. An early allowance can help planning, but replace it with confirmed figures before you approve the final order.

Do larger orders automatically qualify for a discount?

Do not build an assumed discount into your calculations. Explain the quantity and complete brief, then compare the quoted total and inclusions. Any commercial terms need to be confirmed for that order.

Should all employees receive exactly the same hamper?

Not necessarily. Comparable value and care can be maintained while offering different food or drink choices. Ask for a small number of suitable alternatives and price the actual quantities required.

What is the simplest way to compare two quotations?

Put contents, pack sizes, packaging, personalisation, delivery destinations and total cost side by side. Resolve missing inclusions before deciding which proposal offers the better fit.
